How Quick Timetable Works

Quick Timetable is a Smart Timetable Management System (STMS) designed to help educational institutions create, manage and generate academic timetables in a simple step-by-step process.

Step 1: Institution Details

Enter your institution name, department, academic session, timetable title and other basic information. These details are used in the final timetable heading and reports.

Step 2: Course Master

Create all courses, classes, semesters and sections that will be included in the timetable.

You can also enter the assigned classroom for each class.

Step 3: Resource Master

Add practical and activity resources such as LAB1, LAB2, LAB3, Library, Seminar Hall, Sports Ground or other available resources.

Normal Lecture and Tutorial classes continue to use the classroom assigned in Course Master.

Step 4: Subject Master

Add subjects for each class or course.

Enter Subject Code, Subject Name and the required weekly Lecture, Tutorial and Practical load.

Step 5: Faculty Master

Add faculty members and their basic information such as name, designation and department.

You can also define faculty availability, free day and other applicable preferences.

Step 6: Faculty Load

Define the maximum daily and weekly teaching load for each faculty member.

This helps the system distribute lectures fairly while generating the timetable.

Step 7: Subject Distribution

Assign subjects and their Lecture, Tutorial and Practical components to faculty members.

The system uses this distribution as the actual teaching requirement during timetable generation.

Step 8: Merge Classes / Sections

Use this optional step when two classes or sections need to attend the same subject or practical together.

Merged classes can share the same faculty, period and applicable resource.

Step 9: Faculty Preferences

Enter faculty preferences such as preferred periods, continuous lectures or minimum gaps where required.

These preferences help the generator produce a more practical timetable.

Step 10: Time Settings

Set working days, starting time, number of periods per day, lecture duration, lunch break and other timetable timings.

These settings create the basic weekly timetable structure.

Step 11: Fixed Class Slots / Activities

Reserve fixed periods for activities such as Library, Sports, Seminar, Free Period, Practical, Activity or other institutional requirements.

You can also reserve a specific resource for an activity where required.

Step 12: Generate Timetable

Click Generate Timetable after completing the required master data.

The system checks class availability, faculty availability, faculty workload, practical resources, fixed slots, merged classes and other scheduling rules while creating the timetable.

Step 13: Timetable & Summary

Review the generated timetable in different formats.

You can view All Classes, Selected Classes, Particular Class and Faculty-wise timetables.

Check the summary to verify Lecture, Tutorial and Practical load before final use.

Step 14: Daily Faculty Adjustment

Use Daily Faculty Adjustment when one or more faculty members are absent.

Select the absent faculty and the system identifies affected lectures and helps arrange available faculty for temporary adjustment.

The final daily adjustment sheet can be reviewed and printed for use.

Practical Resource Allocation

Practical classes use resources created in Resource Master.

If LAB1, LAB2 and LAB3 are available, the system dynamically assigns a free lab to practical classes and avoids using the same lab for different independent practicals at the same time.

Review Before Final Use

Always review the generated timetable before official implementation.

Check faculty load, pending lectures, merged classes, practical resources, fixed activities and timetable timings.

Print and PDF

After reviewing the timetable, you can use the Print or PDF options to prepare the final timetable for distribution.

Backup and Restore

Quick Timetable stores project data in the browser. Use the Backup / Export option regularly to keep a safe copy of your timetable project.

You can restore the project later using the available import or restore option.

Simple Workflow

Enter Master Data → Set Rules and Timings → Generate Timetable → Review → Adjust if Required → Print / PDF
